A deposit is required at the time of booking and will be applied toward your appointment total. Whether the deposit is refunded depends on how much notice you give and on your cancellation history with our clinic.
For the purposes of this policy, a late cancellation is any cancellation made less than 48 hours before the scheduled appointment.
All fees must be paid in full before scheduling or rescheduling future appointments. Exceptions may be granted for documented emergencies or extenuating circumstances, subject to review and approval by our team. Refund decisions in the 24 to 48 hour window are made by our office and are final.
Our cancellation policy is intended to provide reasonable flexibility when plans change. It is not intended to allow appointment times to be routinely reserved and subsequently released.
Patients who demonstrate a pattern of excessive cancellations, repeated rescheduling, holding multiple appointment times and later cancelling them, repeatedly cancelling inside the 48 hour window, or other use of the schedule that limits appointment availability for other patients may be subject to additional scheduling restrictions, regardless of whether individual cancellations qualify for a refund under the terms above.
At our discretion, these restrictions may include requiring full payment at the time of booking, limiting the number of future appointments that may be reserved at one time, restricting how far in advance appointments may be scheduled, requiring appointments to be scheduled directly through our office, or suspending or removing online booking privileges.
Compliance with the 48 hour cancellation requirement does not guarantee continued unrestricted scheduling or online booking privileges. We reserve the right to modify an individual patient's scheduling privileges when we determine that a pattern of booking, cancellation, or rescheduling is disruptive to appointment availability or clinic operations.
Patients are encouraged to arrive promptly at their scheduled appointment time. Late arrivals may result in reduced treatment time, and arrivals more than 15 minutes late may require rescheduling and may be subject to the cancellation policy above.
We are a busy clinic with limited appointment availability, and many appointment times fill quickly. These policies allow us to maintain reasonable access to care, protect time specifically reserved for each patient, and keep scheduling fair and available for everyone.
This Cancellation and Scheduling Policy may be modified or updated at any time without prior notice. The current policy posted on our website will govern all appointments and scheduling activity.
